Your complete guide to booking, payments, cancellations, safari guidelines, and your rights as a traveller with Armani Tours and Travel — Kenya, Tanzania, Rwanda, Dubai, Europe and beyond.
Introduction and Agreement
Welcome to Armani Tours and Travel. These Terms and Conditions (“Terms”) constitute a legally binding agreement between you (“the Client,” “Traveller,” or “you”) and Armani Tours and Travel (“we,” “us,” “our,” or “the Company”), a licensed tour operator registered and headquartered at Windsor House, Mundi Mbingu Street, Nairobi, Kenya.
By accessing our website at www.armanitoursandtravel.com, making a booking enquiry, confirming a reservation, or engaging our travel services in any capacity, you acknowledge that you have read, understood, and agree to be bound by these Terms in their entirety. If you do not agree to any provision of these Terms, you must immediately cease use of our services and website.
These Terms apply to all travel products and services offered by Armani Tours and Travel, including but not limited to Kenya safari packages, Tanzania wildlife tours, Rwanda gorilla trekking experiences, Zanzibar beach holidays, South Africa safaris, Morocco and Egypt cultural tours, Dubai desert safaris, Saudi Arabia tours, and European cultural travel across France, Spain, Italy, and Greece.
These Terms and Conditions are governed by the laws of the Republic of Kenya. Any dispute arising from these Terms shall be subject to the exclusive jurisdiction of the courts of Kenya. Armani Tours and Travel operates under licences issued by the Kenya Tourism Regulatory Authority (TRA) and all applicable regulations governing licensed tour operations in Kenya.
Armani Tours and Travel reserves the right to amend these Terms at any time. Amendments become effective immediately upon publication on our website. It is the Client’s responsibility to review the most current version of these Terms before making any booking. Your continued use of our services following any amendment constitutes acceptance of the revised Terms.
1. Booking and Payments
All reservations made with Armani Tours and Travel are subject to availability at the time of confirmation. A booking is not confirmed, and no place on a tour or safari is held, until a deposit has been received and a written booking confirmation has been issued by Armani Tours and Travel to the Client.
1.1 Deposit Requirements
To secure a reservation with Armani Tours and Travel, a non-refundable deposit of between 20% and 30% of the total booking value is required at the time of booking, depending on the destination, departure date, and accommodation category. For peak season departures (July–October East Africa, June–September Rwanda), higher deposit percentages may apply due to permit and lodge pre-commitment requirements. The exact deposit amount will be stated in your personalised quotation.
1.2 Balance Payment
The remaining balance of your booking must be paid in full no later than 30 days before your departure date. For bookings made within 30 days of departure, the full payment is due at the time of booking confirmation. Armani Tours and Travel will issue a payment reminder 30 days before the balance due date. Failure to complete payment by the specified deadline may result in the automatic cancellation of your reservation without refund of the deposit paid.
1.3 Accepted Payment Methods

- 📲 M-Pesa — available for clients within East Africa
All payments must be made in the currency stated in your quotation. Any bank charges, currency conversion fees, or international transfer costs are the responsibility of the Client and will not be deducted from the balance owed to Armani Tours and Travel. Armani Tours and Travel does not store credit or debit card details on our systems.
1.4 Instalment Plans
For bookings with a total value exceeding USD 3,000, Armani Tours and Travel may offer a structured instalment payment plan on request. Instalment plans must be agreed in writing prior to booking confirmation and are subject to the same cancellation terms as standard bookings. Contact our team to discuss instalment arrangements suited to your booking.
1.5 Price Guarantee
Once your booking has been confirmed in writing and the required deposit received, Armani Tours and Travel guarantees the quoted price for your tour. We will not apply surcharges for fuel, currency fluctuations, or park fee increases after confirmation, provided full payment is received by the agreed balance due date. Armani Tours and Travel reserves the right to pass on extraordinary cost increases (defined as increases exceeding 10% of the package value) that arise from government-imposed taxes or park fee revisions, with a minimum 30-day written notice to the Client.
2. Cancellation and Refund Policy
Armani Tours and Travel understands that travel plans sometimes change due to personal, professional, or unforeseen circumstances. Our cancellation policy is designed to be fair to both Clients and to our operations, which involve significant pre-commitments to accommodation, park permits, and guiding staff on your behalf.
2.1 Client-Initiated Cancellations
All cancellation requests must be submitted in writing to Armani Tours and Travel via email at info@armanitoursandtravel.com or via WhatsApp at +254 722 534 853. Cancellations are effective from the date the written request is received and acknowledged by Armani Tours and Travel. The following refund schedule applies:

Rwanda gorilla trekking permits are subject to Rwanda Development Board cancellation rules and may be non-refundable regardless of the above schedule. Armani Tours and Travel will advise on Rwanda-specific terms at the time of permit application.
2.2 Rescheduling Policy
Armani Tours and Travel offers free rescheduling to any alternative date within 24 months of the original departure date, subject to availability. Rescheduling requests must be made at least 30 days before the original departure date. Only one free rescheduling is permitted per booking; subsequent changes may incur an administration fee. Price differences between the original booking date and the rescheduled travel period will be applied.
2.3 Extraordinary Circumstances
Where cancellation or rescheduling is required due to an extraordinary circumstance — defined as a government-declared travel ban, pandemic-related border closure, natural disaster directly affecting your destination, or a certified medical emergency preventing travel — Armani Tours and Travel will apply maximum flexibility beyond the standard schedule above. Supporting documentation will be required. Armani Tours and Travel strongly recommends all Clients carry comprehensive travel insurance covering these scenarios.
2.4 Third-Party Booking Components
Certain components of your Armani Tours and Travel itinerary may be booked through third-party providers including airlines, cruise operators, or specialist lodges operating their own cancellation policies. Refunds for these components are subject to the policies of the respective third-party provider and may differ materially from the Armani Tours and Travel schedule above. Third-party terms will always be communicated clearly before such components are booked on your behalf.
2.5 Armani Tours and Travel–Initiated Cancellations
In the unlikely event that Armani Tours and Travel cancels a tour due to insufficient bookings, operational circumstances, or force majeure, we will provide a minimum of 21 days’ written notice (where possible) and offer the Client a full refund of all payments made or a credit of equivalent value toward future travel. Armani Tours and Travel will not be responsible for any additional costs incurred by the Client (flights, visas, non-refundable accommodation) in such circumstances, which is another reason we strongly recommend travel insurance.
3. Travel Documents and Insurance
Every traveller is solely responsible for ensuring they possess all valid documentation required to undertake their journey with Armani Tours and Travel. Armani Tours and Travel provides destination-specific guidance on requirements as part of our pre-departure briefing, but this guidance is advisory only. Final responsibility rests with the traveller.
3.1 Passports and Visas
- Passport validity: Most destinations require your passport to be valid for at least 6 months beyond your planned return date. Check requirements for your specific nationality and destination well in advance.
- Kenya eVisa: Available online at evisa.go.ke — USD 50 for most nationalities. Apply a minimum of 7 days before travel. Armani Tours and Travel provides step-by-step guidance for all East African visa applications.
- Tanzania visa: Available on arrival or online at immigration.go.tz. USD 50 for most nationalities. East African Community passports enter visa-free.
- Rwanda visa: Visa-on-arrival or e-visa available. Many African Union countries have visa-free access. Armani Tours and Travel advises on current status at time of booking.
- Schengen Zone (Europe): Travel insurance meeting Schengen minimum cover requirements is a mandatory visa application requirement for many nationalities.
- Dubai and Saudi Arabia: Armani Tours and Travel provides full visa guidance for all Middle East bookings including Saudi Arabia’s e-visa application process.
Armani Tours and Travel is not responsible for denied boarding, entry refusals, or deportation resulting from insufficient, incorrect, or missing travel documentation. No refund will be provided in such circumstances.
3.2 Travel Insurance
Armani Tours and Travel strongly recommends — and for certain destinations effectively requires — comprehensive travel insurance for all international journeys. A medical evacuation from a remote East African safari destination can cost between USD 30,000 and USD 80,000 without insurance coverage. A full trip cancellation policy for a USD 5,000 safari costs approximately USD 150–200 and provides complete financial protection.
Armani Tours and Travel recommends insurance policies covering as a minimum:
- 🏥 Medical expenses including emergency evacuation and repatriation
- ❌ Trip cancellation and interruption for covered reasons
- 🧳 Baggage loss, damage, and delay
- ⛈️ Natural disaster and weather disruption
- 🦟 Medical treatment abroad including safari-specific risks
- 🚁 Emergency helicopter evacuation from remote parks
Note: All Armani Tours and Travel Tanzania safari packages include Flying Doctor emergency evacuation membership as standard. This does not replace comprehensive travel insurance and covers emergency air evacuation to Nairobi only.
4. Health and Safety
The health and safety of every traveller is the highest operational priority of Armani Tours and Travel. By booking any travel service with us, you accept responsibility for ensuring your personal health and fitness for the activities included in your itinerary.
4.1 Health Requirements and Vaccinations
- Yellow Fever Certificate: A valid Yellow Fever vaccination certificate is required for entry to Kenya and several other East African countries if travelling from a Yellow Fever endemic country. Check the specific requirements for your nationality and routing. Some destinations make Yellow Fever vaccination compulsory for all travellers regardless of origin.
- Malaria prophylaxis: Malaria is endemic in all major Kenya and Tanzania safari destinations (excluding Nairobi city). Armani Tours and Travel strongly recommends consulting a travel medicine specialist 6–8 weeks before departure and beginning appropriate anti-malarial medication. Our guides take appropriate precautions but cannot eliminate the risk of mosquito exposure.
- Routine vaccinations: Hepatitis A, Hepatitis B, Typhoid, and Tetanus boosters are recommended for East African travel.
- Gorilla trekking health rules: Rwanda Development Board regulations prohibit any person with a cold, flu, or respiratory illness from participating in gorilla trekking on that day to protect mountain gorilla populations. No refund is available if you are turned away on health grounds on the day.
4.2 Pre-Existing Medical Conditions
Clients with pre-existing medical conditions — including cardiovascular conditions, respiratory conditions, physical disabilities, or mobility limitations — must disclose these to Armani Tours and Travel at the time of booking. This is not a barrier to travel in most cases; it allows our team to design appropriate itineraries, select suitable accommodation, and ensure guides are briefed appropriately for your needs. Armani Tours and Travel reserves the right to decline booking requests where activities pose a genuine medical risk to the Client, in consultation with the Client’s own healthcare provider.
4.3 Altitude and Physical Demands
Some Armani Tours and Travel itineraries involve physical demands above standard walking. Rwanda gorilla trekking involves hiking through equatorial forest at altitude (2,200–3,200m) for 2–8 hours. Morocco High Atlas Mountain excursions involve significant gradient walking. Clients should assess their physical fitness honestly against the demands of their chosen itinerary and consult a doctor if in any doubt.
5. Liability and Responsibility
Armani Tours and Travel acts as a principal operator for its own-operated safaris and tours, and as an agent in respect of certain third-party services including international airlines, specialist lodges, and ground handling operators in some destinations.
5.1 Our Responsibility to You
Armani Tours and Travel accepts full responsibility for:
- The professional conduct and competence of our employed and contracted guides
- The airworthiness and maintenance standards of vehicles operated directly by Armani Tours and Travel
- The accuracy of information provided to you at the time of booking
- Delivering the services described in your confirmed itinerary to a reasonable professional standard
- Providing you with emergency assistance and support during your trip
5.2 Limitations of Liability
Armani Tours and Travel’s liability to any individual Client is limited to the total value of the tour package purchased. We are not liable for:
- Delays, cancellations, or service failures caused by airlines, third-party hotels, or other suppliers not directly employed by Armani Tours and Travel
- Loss of or damage to personal belongings, equipment, or baggage
- Personal injury sustained through a Client’s own actions or failure to follow guide instructions
- Itinerary modifications necessitated by weather conditions, wildlife behaviour, government regulations, or other circumstances beyond our reasonable control
- Indirect, consequential, or economic losses including missed connections or lost business opportunities
5.3 Client Responsibility
Every traveller is responsible for their own conduct and safety throughout the tour. This includes complying with local laws and customs, following all safety instructions provided by Armani Tours and Travel guides, respecting national park regulations, and ensuring personal travel insurance is in place. Armani Tours and Travel reserves the right to remove any Client from a tour — without refund — where their behaviour poses a risk to the safety or enjoyment of other guests, wildlife, or staff.
6. Itinerary Changes and Flexibility
Armani Tours and Travel designs itineraries based on the best available information at the time of booking. Safari itineraries in particular are subject to natural variability — wildlife does not move to a schedule, weather is unpredictable, and park access conditions change seasonally. Armani Tours and Travel’s guides are trained to make real-time adjustments that maximise the quality of your experience.
6.1 Minor Changes
Minor itinerary adjustments — including game drive route changes, lodge room category substitutions of equal value, meal timing changes, or activity sequencing — may be made at any time without prior notice. These adjustments are made in your interest and do not constitute a material change to your booking.
6.2 Significant Changes
Where Armani Tours and Travel makes a significant change to a confirmed itinerary — defined as a change to a core destination, a downgrade in accommodation standard, or a change to the overall duration — we will notify you as early as possible and offer:
- Acceptance of the modified itinerary
- An alternative Armani Tours and Travel product of equivalent value
- A full refund if neither of the above options is acceptable
6.3 Force Majeure
Armani Tours and Travel is not liable for itinerary changes or cancellations caused by force majeure events — circumstances beyond our reasonable control including but not limited to: natural disasters, acts of terrorism, political unrest, civil disturbances, epidemics or pandemics, volcanic activity, extreme weather events, or government-imposed travel restrictions. In such events, Armani Tours and Travel will make every reasonable effort to provide alternative services or issue credit for future travel. We strongly recommend travel insurance that covers force majeure scenarios.
7. Safari Guidelines and Code of Conduct
All Clients participating in safari activities operated by Armani Tours and Travel are required to comply strictly with the following guidelines. These rules exist to protect your safety, the safety of other guests, the wellbeing of wildlife, and the preservation of natural habitats for future generations. Non-compliance may result in immediate removal from the safari without refund.
- Respect Wildlife at All Times: Maintain the minimum safe distance from all animals as directed by your guide. Do not attempt to touch, feed, attract, provoke, or otherwise interfere with any wildlife. Animals in their natural environment are unpredictable — distance and stillness are your primary safety tools.
- Remain Inside the Safari Vehicle: Unless explicitly and clearly instructed otherwise by your guide, remain seated inside the vehicle at all times during game drives. Predators — including lions, leopards, and hyenas — are present in all major parks and reserves. Standing through the roof hatch is permitted only when the vehicle is stationary and the guide has confirmed it is safe to do so.
- Follow Your Guide’s Instructions Immediately: Your Armani Tours and Travel safari guide holds KPSGA professional certification and has years of field experience. Their safety instructions — whether related to wildlife, weather, vehicle positioning, or park regulations — must be followed without hesitation or argument.
- No Littering: Zero tolerance for littering in any national park, conservancy, or natural environment. All waste must be retained in the vehicle and disposed of at designated facilities. Plastic bags are prohibited in Kenya national parks. This is both an Armani Tours and Travel policy and a legal requirement under Kenyan environmental law.
- Minimise Noise During Sightings: Speak in low voices during all wildlife sightings. Do not shout, play music from phones or speakers, or make sudden loud sounds. Noise disturbs animals, shortens sightings, and ruins the experience for other guests. Mobile phones must be silenced during game drives.
- Dress Appropriately for Safari: Wear neutral, earth-toned clothing (khaki, beige, olive, brown) during game drives. Avoid white, bright colours, and reflective materials which can disturb wildlife. Closed shoes are required during any walking activity. Sun protection — hat, sunscreen SPF 50+, and sunglasses — is essential at all times in equatorial environments.
- Avoid Flash Photography: Flash photography is strictly prohibited near all wildlife. Flash startles animals, disrupts natural behaviour, and can be dangerous near predators. Modern cameras and smartphones perform well in low light — use natural light settings. Professional photographic guides can advise on optimal settings for dawn and dusk wildlife photography.
- Do Not Remove Natural Material: Removing plants, rocks, soil, bones, feathers, or any natural material from national parks or protected reserves is illegal under Kenyan wildlife law and the laws of all other countries where Armani Tours and Travel operates. Criminal penalties apply.
- Night Safari Protocols: During night game drives (available in private conservancies), follow all flashlight guidelines provided by your guide. Do not use white lights or phone screens without guide approval. Night safaris present elevated risk — heightened alertness and guide compliance are mandatory.
- Respect Local Communities: When visiting Maasai villages, Samburu communities, Berber villages in Morocco, Nubian communities in Egypt, or any indigenous cultural experience, approach with humility, respect, and genuine curiosity. Ask before photographing individuals. Follow cultural etiquette briefings provided by your Armani Tours and Travel guide before each community visit.
- Children on Safari: Parents and guardians are solely responsible for ensuring children comply with all safari safety guidelines at all times. Children must remain seated inside the vehicle unless the guide specifically authorises otherwise. Armani Tours and Travel recommends a minimum age of 5 years for standard game drive safaris.
- Emergency Procedures: In the event of any emergency — vehicle breakdown, medical incident, wildlife incident, or weather emergency — remain calm, stay inside the vehicle unless your guide instructs otherwise, and follow your guide’s instructions precisely. All Armani Tours and Travel vehicles carry first aid kits, satellite communication devices, and emergency contact protocols.
Armani Tours and Travel operates a zero-tolerance policy toward behaviour that endangers wildlife, fellow travellers, local communities, or our staff. Any Client engaging in such behaviour will be removed from the tour immediately, without refund, and may be reported to Kenya Wildlife Service or other relevant authorities. This includes provocation of wildlife, harassment of guides, intoxication that creates safety risks, and wilful destruction of natural environments.
8. Group Bookings
Armani Tours and Travel welcomes group bookings and can accommodate private groups, corporate travel, school and university expeditions, and special-interest groups across all our destinations. Our maximum group size policy of six passengers per vehicle applies regardless of group size — larger groups travel in two or more vehicles, each with a dedicated professional guide.
8.1 Group Pricing and Deposits
Groups of six or more travellers booked together qualify for preferential pricing. Group bookings require a higher initial deposit (typically 50% of the total group value) to secure the required number of lodge rooms, vehicles, and permits simultaneously. Contact our team for group-specific quotations.
8.2 Individual Cancellations Within a Group
Where an individual member of a confirmed group cancels their place, the cancellation terms in Section 2 apply to that individual. The remaining group members may experience a price adjustment if the cancellation affects a group discount threshold. Armani Tours and Travel will notify the group organiser of any such adjustment as promptly as possible and will work to minimise the impact on remaining travellers.
8.3 Group Organiser Responsibilities
The named group organiser or booking contact accepts responsibility for communicating Armani Tours and Travel’s Terms and Conditions to all members of the group prior to booking, collecting group member deposits and payments, and ensuring all group members have valid travel documentation and insurance. Armani Tours and Travel will direct all group communications to the named organiser.
9. Loyalty Programme
Armani Tours and Travel values the loyalty of returning clients. Our loyalty programme rewards travellers who book multiple journeys with us with a range of exclusive benefits designed to enhance future travel experiences.
- Eligibility: Any client who has completed a minimum of two confirmed and travelled Armani Tours and Travel bookings is automatically enrolled in our loyalty programme
- Benefits: Loyalty benefits may include priority access to new itineraries, preferential pricing on selected packages, complimentary room upgrades subject to availability, and early access to peak-season booking windows
- Non-transferable: Loyalty programme benefits are personal to the account holder and cannot be transferred to another individual
- Programme amendments: Armani Tours and Travel reserves the right to modify, suspend, or discontinue the loyalty programme at any time with 30 days’ written notice to enrolled members. Benefits accrued prior to any discontinuation will be honoured within a 12-month redemption window
10. Child Policy
Armani Tours and Travel welcomes families and takes particular care in designing child-friendly safari and travel experiences. Understanding our child policy before booking ensures the smoothest possible experience for your family.
- Infants under 2 years: Children under 24 months travel at no additional charge on most Armani Tours and Travel programmes, sharing existing safari vehicle seating and lodge rooms with accompanying adults. Destination-specific infant policies (particularly for international flights and certain lodges) may apply and will be communicated at booking.
- Children aged 2–12: Children in this age group qualify for discounted rates on most Armani Tours and Travel programmes. Specific discounts vary by destination and accommodation category. Contact us for family-specific quotations.
- Minimum age requirements: Some activities carry minimum age restrictions for safety reasons. Rwanda gorilla trekking requires a minimum age of 15 years (Rwanda Development Board regulation — no exceptions). Hot air balloon safaris typically require a minimum age of 7 years. Walking safaris vary by operator — typically 12 years minimum.
- Accompanying adults: All children must be accompanied by a parent or legal guardian aged 18 or over at all times during Armani Tours and Travel programmes. Armani Tours and Travel cannot accept unaccompanied minors on any tour or safari.
- Child safety on safari: Parents and guardians are solely responsible for their children’s compliance with all safari guidelines in Section 7 of these Terms. Our guides will assist wherever possible, but parental supervision is the primary responsibility.
11. Photography, Media, and Intellectual Property
Photography and videography for personal use is encouraged throughout all Armani Tours and Travel programmes. Our destinations produce some of the most extraordinary photographic opportunities available anywhere in the world. However, certain restrictions exist to protect wildlife, local communities, and intellectual property rights.
- Personal photography: Photography and video recording for personal, non-commercial use is permitted throughout all Armani Tours and Travel itineraries, subject to the restrictions below
- Drone use: The operation of unmanned aerial vehicles (drones or UAVs) in Kenya, Tanzania, and Rwanda national parks requires a permit from the Kenya Civil Aviation Authority (KCAA), Tanzania Civil Aviation Authority (TCAA), or Rwanda Civil Aviation Authority (RCAA) respectively. Operating a drone without the required permit is illegal and may result in confiscation of equipment and prosecution. Armani Tours and Travel can assist with permit applications for pre-planned professional photography expeditions
- Photography of local people: Always seek explicit verbal consent before photographing individuals in local communities, markets, and cultural sites. Many communities welcome photography with appropriate permission. Refusal must be respected immediately and without argument
- Commercial photography: Any photography or filming intended for commercial publication, advertising, television broadcast, or social media monetisation requires advance written agreement with Armani Tours and Travel and, where applicable, the relevant park authorities
- Armani Tours and Travel marketing use: With your prior consent, Armani Tours and Travel may share guest photographs submitted to our social media channels, email communications, or website for marketing purposes. You retain full copyright of your images. We will not use your images without your explicit consent and will always credit you as the photographer upon request
12. Special Assistance and Accessibility
Armani Tours and Travel is committed to making our travel experiences accessible to the widest possible range of travellers. If you require any form of special assistance, please disclose your requirements at the time of enquiry — not after booking — to allow us adequate time to make appropriate arrangements.
- Mobility assistance: Safari vehicles can be adapted where possible for clients with mobility limitations. Some lodges offer wheelchair-accessible accommodation. Specific capability varies significantly by destination and accommodation — we will advise honestly on what is and is not achievable for your specific needs
- Dietary requirements: Armani Tours and Travel accommodates all dietary requirements including vegetarian, vegan, halal, kosher, gluten-free, and allergy-specific diets with advance notice. Inform us at the time of booking. Our guides will communicate your requirements to all accommodation providers in advance
- Medical support requirements: Clients travelling with medical equipment (CPAP machines, refrigerated medication, EpiPens) must notify Armani Tours and Travel at booking. We will confirm electrical compatibility, refrigeration availability, and any destination-specific restrictions on medical equipment
- Additional costs: Where special assistance requirements necessitate additional logistics — private vehicles, single-storey accommodation supplements, specialist equipment — these costs will be clearly itemised and agreed with you before booking confirmation
13. Complaints and Dispute Resolution
Armani Tours and Travel is genuinely committed to excellence in every aspect of client experience. When something falls short of our standards, we want to know — and we want to fix it.
13.1 Reporting Issues During Your Trip
The most effective way to resolve a service issue is to raise it immediately with your guide or with the Armani Tours and Travel operations team via WhatsApp at +254 722 534 853, which is monitored 24 hours a day, seven days a week. The vast majority of issues can be resolved promptly when raised in the moment. 13.2 Formal Complaints
Formal written complaints must be submitted to Armani Tours and Travel via email at info@armanitoursandtravel.com within 28 days of your return date. Complaints submitted after this period may not be considered. Armani Tours and Travel will acknowledge receipt within 48 hours and provide a full written response within 14 working days.
13.3 Governing Law and Jurisdiction
These Terms and Conditions and any dispute arising from your engagement with Armani Tours and Travel are governed by and construed in accordance with the laws of the Republic of Kenya.
